Many of the activities carried out by clubs have the potential to be dangerous. That is why ensuring the safety of all those participating in or organising these activities is a priority of the Athletic Union.

Making sure your events and activities are safe is an important part of planning and delivering a good service to your members. The AU has a duty to look out for, and ensure the safety of, all who work in and deal with it, so do clubs. Your members are looking to you to ensure their safety during participation in the activities you provide.

Health & Safety is not about stopping people from having fun but ensuring that the fun they have is safe and legal. It may at times seem overly bureaucratic and ‘stuffy’ but it is essential that the procedures and protocols put in place are followed to ensure the health and safety of everyone involved.

Below, we've listed different ways to ensure the safety of your members. For more advice contact a member of the AU Office team.

Risk Assessment

A Risk Assessment is simply that - an assessment of the risk involved in an activity and ways to reduce that risk to an acceptable level. It is a record of your safety checks for the whole activity/event and what actions you will take to minimise the potential danger in an activity. Organising a trip

Trips are a central part of running several clubs. On the whole these events are well organised, but its important for trip leaders to follow some basic rules to ensure the trip is run safely and effectively. We have lots of guidance online plus a downloadable trip forms which must be completed for each trip you undertake

Constitution and Codes Of Practice

A Constitution is essentially a list of dos and don’ts designed to encourage responsible behaviour and good practice as well as outline how the management of the club operates. When joining, your members should be given your club's constitution to make them aware of particular rules and acceptable standards of behaviour. Clubs also should have a Code of Practice (safety guidelines, safety policy, etc.) that highlights risks involved in participating in the sport and ways to keep you and your members safe. It is your responsibility as a club officer to keep these updated but we can provide assistance if required.

Driving Policy

If you/a member of your group drives their car as part of your activities, e.g. for a trip, they must email a member of the AU Office team to confirm the following;

  • Their car is taxed, insured and has a valid MOT
  • They hold a valid license and are fit to drive

Confirmation of these details should be emailed to the AU President - aupresident@swan.ac.uk

First Aid

All clubs should have a minimum of two qualified First Aid trained members. SUAU runs a number of First Aid courses at the start of each year and further courses can be arranged if there is sufficient demand. First aid kits are available on loan from the AU Office

Membership Details

Since all members are involved in an activity recognised as potentially dangerous or involving potential hazards , then the AU requires personal details including emergency contact details and relevant medical information to be kept on file.

It is vital that all your members complete the online membership process and provide accurate information. Payment of the SUAU Sport Participation Fee also ensures that they are appropriately insured and no-one can join any AU club without this!

Emergency procedures

All club officials must be aware of University emergency procedures. If you have an emergency on campus, then call SECURITY on ???? on an internal phone or (01792) ?????? from an external phone or mobile – do not call the emergency services. If you are involved in an emergency at another location you should follow any local proceudres, failing that you should call the emergency services on 999, 112 or 211 (for abroad)

Insurance

Does your club require insurance? How would you even know? Most student activities will be covered by one of the Union’s various insurance policies, but its advisable to ask what is covered and under what circumstances, as you may require additional coverage.

Under 18 Policy - for SUAU clubs - this should be read by all club committee members
